What this policy covers. This Privacy Policy applies to:

  • Quelld.ai (the “App”) — including AI-enabled features that help co-parents/families manage schedules, communications and tasks.
  • Quelld.com (the “Site”) — including service listings and bookings operated via Trafft (white‑label).
  • Any related communications (email, in‑app messaging) and customer support.

We act as a Controller of your personal data under UK GDPR and the Data Protection Act 2018 (and, where applicable, EU GDPR for EEA users).

1) Personal data we collect

You provide:

  • Account & SSO data: name, email, password or SSO token, role (e.g., Service Provider, Parent/Homeowner), profile photo, contact details, address/postcode (optional), marketing preferences.
  • Co‑parenting & household information: calendars, events, custody patterns (e.g., 5‑2‑2‑5), notes, task lists, and optionally children’s first names and ages.
  • Booking data (Site): services you offer/seek, availability, prices, booking details, reviews/ratings (where enabled).
  • Communications: messages with other users and with our support team.
  • Payment data: handled by our payment processor (e.g., Stripe); we receive limited metadata (last 4 digits, card type, transaction IDs, billing address) but not full card numbers.

We collect automatically:

  • Usage & device data: IP address, device identifiers, browser/app type, OS, time zone, crash logs, pages/screens viewed, clicks, referring URLs.
  • Cookies & similar tech: for sign‑in, security, analytics, A/B testing and marketing. See Cookie Notice below.

From third parties:

  • Trafft (bookings), payment processors, and analytics/ads partners.
  • AI/ML vendors used to process user‑authorised content (e.g., parsing emails you connect to your account — if enabled by you).

2) Special notes about children

Quelld is intended for adults (18+). Parents/guardians may input limited information about children solely to manage schedules. Do not upload sensitive or unnecessary data about children. If we learn we’ve collected a child’s personal data without appropriate authorisation, we’ll delete it.

3) How we use your data (lawful bases)

  • Provide and secure the App/Site (contract): account creation, SSO across Quelld.ai and Quelld.com, fraud prevention, troubleshooting.
  • Bookings & marketplace features (contract): service listings, availability, messaging, reviews, dispute assistance.
  • AI‑enabled features (contract/legitimate interests/consent): optional parsing and classification of content you connect (e.g., emails, keywords you choose during onboarding) to organise calendars, tasks, and suggestions. We do not use these inputs to train public models; vendors process them only to provide the service under our instructions.
  • Payments (contract/legal obligation): to process subscriptions or service fees and comply with tax/accounting.
  • Communications (legitimate interests/consent): service notices, security alerts, and (with consent where required) marketing.
  • Improvement & analytics (legitimate interests): to understand usage and improve features.
  • Legal compliance (legal obligation): responding to lawful requests, enforcing terms, preventing harm.

4) Sharing your data

We share data with:

  • Vendors/Processors under contract, e.g., Trafft (bookings), hosting, analytics, email delivery, payment processors, anti‑fraud, and AI/ML infrastructure providers (including model providers) who process data only on our behalf.
  • Other users when you interact (e.g., booking details, messages, profiles, reviews) according to your settings.
  • Authorities if required by law or to protect rights, safety, and property.
  • Business transfers: if we undergo a merger, acquisition or sale of assets.

5) International transfers

Where data is transferred outside the UK/EEA, we use lawful safeguards such as the UK International Data Transfer Addendum (IDTA) and the EU Standard Contractual Clauses (SCCs), plus supplementary measures where appropriate.

6) Data retention

We keep personal data only as long as necessary to provide the service and for legitimate business/legal purposes. Examples: account data while your account is active; booking/transaction records for at least 6 years (UK tax). You may request deletion; some records must be retained for law and security.

7) Your rights

Subject to law, you can request access, correction, deletion, restriction, portability, and to object to processing (including direct marketing). Where we rely on consent, you may withdraw it anytime.

How to exercise your rights: email privacy@quelld.com . We’ll respond within one month. You can also complain to the UK Information Commissioner’s Office (ICO).

8) Security

We use technical and organisational measures (encryption in transit, salted password hashing, access controls, vendor due diligence). No system is perfectly secure; please keep your credentials safe and enable MFA when available.

9) Automated decision‑making

The App may use automated processing (e.g., classification of emails you connect, keyword‑based triage, smart scheduling suggestions). These features are designed to assist, not replace, your judgement. You can usually opt out by disabling the relevant feature.

10) Cookies & similar technologies (summary)

  • Strictly necessary: sign‑in, SSO, security, load balancing.
  • Preferences: remember choices and roles.
  • Analytics: usage stats to improve features.
  • Marketing: measure campaign performance; with consent via our cookie banner where required.

11) Contact & updates

We may update this policy to reflect changes in law or services. We’ll post the new version and update the date above. If changes are material, we’ll notify you by email or in‑app.
